About this app
Oracle Depositions is a Zoom app built and operated by Michelle Acosta Law Firm, PLLC ("the firm," "we," "us") for the firm's own internal use. It is not offered to the public or to any other organization. Only the firm's attorneys and authorized staff can add or use it, and only to record and transcribe depositions in legal matters the firm handles.
When a firm attorney requests it, the app joins a Zoom meeting that the attorney is attending, as a visible participant named "Michelle Acosta Law Firm Oracle Recorder." It joins on behalf of that attorney. It records only after both of the following happen: (1) the meeting host grants recording permission in Zoom, which causes Zoom to show its recording notice to everyone in the meeting; and (2) the firm attorney confirms in the firm's system that recording notice and consent have been handled.
Information we collect
From the firm user who authorizes the app:
- An authorization that allows the app to request a short-lived token to join a meeting on that user's behalf (Zoom permission "View a user's token," user:read:token). The app does not read the user's meetings, contacts, recordings, chats, or other Zoom data.
From a deposition, while the app is recording:
- The meeting audio.
- A timestamped transcript of what is said.
- Participants' Zoom display names, used to label who is speaking.
- Status information about the app's own participation (for example, when it joined, was admitted, started or paused recording, disconnected, and left).
What we do not store:
- The meeting link, the meeting passcode, or the full meeting number.
- The short-lived token Zoom issues for joining. It is used for that join only and is never stored, logged, or displayed.
How we use the information
We use this information only to create an accurate record and transcript of the deposition for the firm's legal work on that matter. Portions of a deposition marked "off the record" are flagged and excluded from analysis and from exports. We do not sell this information, use it for advertising or marketing, or use it for any purpose unrelated to the legal matter.
Transcription and AI services
Transcription is performed on computers the firm controls, without sending the audio to an outside transcription service. If the attending attorney turns it on for a deposition, the firm may use an AI service under the firm's own business account (currently Claude, provided by Anthropic) to help the attorney review the on-the-record transcript. Off-the-record portions are not sent.
How we share the information
We share deposition recordings and transcripts only as the legal matter requires, for example with the firm's client, co-counsel, the court reporter, retained experts, the court, or other parties to the case, or when the law, a court order, or the rules of discovery require it. We do not share the Zoom authorization with anyone.
Where the information is kept and how it is protected
- Recordings and transcripts are stored on systems the firm controls in the firm's office in Houston, Texas, and in the firm's own database.
- Access is limited to authorized firm personnel, by role, and access and changes are logged.
- The Zoom authorization (refresh token) is stored encrypted in the firm's password manager. It is never stored in a database or in source code.
How long we keep it
Recordings and transcripts are part of the firm's file for the legal matter. We keep them for at least 7 years after the matter closes, consistent with the firm's file-retention policy, or longer when a legal hold, court order, or professional rule requires it. A user's Zoom authorization is kept only while that user has the app added, and is deleted when the app is removed (see below).
Your rights and choices
Anyone whose information the app holds, including a deposition participant, may ask us what information we hold about them, ask us to correct it, or ask us to delete it, by emailing [email protected]. Depending on where you live, you may have additional rights under applicable privacy laws. Because deposition records are part of legal proceedings, the law or a court may require us to keep some information; if we cannot honor a request for that reason, we will tell you why.
Removing the app
A firm user can remove Oracle Depositions at any time in Zoom: sign in at marketplace.zoom.us, choose Manage, then Added Apps, and remove Oracle Depositions. When a user removes the app, the firm deletes that user's stored Zoom authorization within 10 days. Recordings and transcripts already made remain part of the matter file, as described above.
Changes to this policy
If we change this policy, we will post the new version on this page and update the date at the top.
